Service Agreements, Estimates & Website Use
These Terms & Conditions describe the agreement between TAP Heating and Cooling and the homeowners, property owners, and businesses we serve. They cover the use of our website, estimates and invoices, service workmanship, warranty, financing, and how we resolve any disagreements. We have written them in plain language so you know what to expect before, during, and after the job.
Agreement to These Terms
By using the TAP Heating and Cooling website at www.taphvac.com, requesting an estimate, accepting a quote, or paying an invoice, you agree to the Terms & Conditions below. If you do not agree, please do not use the website or engage our services. These terms work together with the Privacy Policy and any signed work agreement, financing document, or maintenance plan contract you receive from us.
1. About Us
TAP Heating and Cooling is a community-focused heating, cooling, and indoor air quality contractor based at 6109 Hunt Rd, Blanchester, OH 45107, serving southwest Ohio with 40+ years of combined experience. We are a licensed, insured HVAC contractor and operate within the greater southwest Ohio region around Blanchester (Clinton County and surrounding communities). 2. Use of This Website
You may use this website for personal, non-commercial purposes to learn about our services, request a quote, schedule a visit, or make a payment. You agree not to:
- Copy, republish, or redistribute our content (text, photos, schemas, or design) without written permission.
- Attempt to disrupt the site, bypass security, or interfere with other users.
- Scrape contact details for unsolicited marketing.
- Submit false, misleading, or fraudulent information through any form on the site.
All content on this website — including the TAP Heating and Cooling name, logo, page text, photography, and branded imagery — is the property of TAP Heating and Cooling or its licensors and is protected by U.S. copyright and trademark law.
3. Quotes, Estimates & Pricing
When we provide a written or in-person estimate:
- Estimates are valid for 30 days from the date issued unless we state otherwise in writing.
- Equipment pricing may be revised if a manufacturer changes wholesale cost, a refrigerant or supply shortage occurs, or local code requirements change between the estimate and installation date.
- Hidden conditions discovered on the job — rotted framing, undersized electrical service, condemned ductwork, asbestos, etc. — may require a change order before work continues.
- We will explain change orders to you in plain language and obtain your approval before adding charges. We will never proceed with unauthorized work.
4. Scheduling & Cancellations
We schedule appointments on a first-come, first-served basis with priority given to Maintenance Plan members. We do our best to arrive within the time window we promise — sometimes weather, traffic, or an emergency at a previous job will affect that. We will call or text if we are running behind. To cancel or reschedule, please give us at least 24 hours’ notice so we can offer the slot to another customer.
5. Payment Terms
Payment is due at the time of service unless other terms are agreed to in writing. We accept:
- Cash and check
- Major credit and debit cards (processing fees may apply on commercial work)
- ACH bank transfer
- Approved financing through Service Finance — see our financing page
Unpaid balances over 30 days may accrue late fees as permitted by Ohio law and may be referred to collections. A returned-check fee applies to any check that does not clear.
6. Financing
If you apply for financing through our partner, the loan agreement is between you and the lender (Service Finance) — not TAP Heating and Cooling. Approval, rate, term, and payment schedule are determined by the lender according to its underwriting. We are happy to walk you through options, but we cannot guarantee approval or specific terms.
7. Workmanship & Warranty
TAP Heating and Cooling stands behind its work:
- Repair guarantee — 1 year on every repair we perform.
- Installation labor warranty — minimum 1 year on labor for new installation equipment, extended to 3 years for high-efficiency equipment.
- Lifetime Workmanship Warranty — we stand behind the quality of our workmanship for the life of your system.
- Equipment warranty — manufacturer warranties typically run 5–10 years on parts and the compressor, depending on the model. We register your equipment to activate full coverage. Warranty terms are set by the manufacturer.
Warranties do not cover damage caused by misuse, lack of maintenance, power surges, flood, fire, vandalism, animal damage, modifications by a third party, or operation outside the manufacturer’s specifications. To preserve your equipment warranty, follow the recommended maintenance schedule and use compatible replacement parts.
8. Maintenance Plans
Our annual Maintenance Plan is a 12-month agreement that includes two scheduled service visits, a repair discount, and priority scheduling. Plan terms, pricing, what is covered, and renewal handling are detailed in the Maintenance Plan agreement you sign at enrollment. Plans automatically renew unless you tell us otherwise before the renewal date.
9. Rebates & Incentives
We help customers apply for manufacturer, utility, state, and federal rebates and incentives when applicable. Rebate programs are administered by third parties — we do not control approval, payout timing, or program changes. Rebate amounts are subject to change without notice, and we cannot guarantee that any rebate will be paid out on the timeline a third party advertises.
10. Access to the Property
You agree to provide safe, reasonable access to the equipment, ductwork, electrical panel, gas shutoff, and any related systems on your property on the day of service. If pets, locked gates, or hazardous conditions prevent access, the appointment may need to be rescheduled and a trip charge may apply.
11. Limitation of Liability
To the fullest extent permitted by law, TAP Heating and Cooling’s total liability for any claim arising out of this agreement is limited to the amount you paid for the specific service that caused the claim. We are not liable for indirect, incidental, consequential, or punitive damages — including loss of use, loss of income, food spoilage, or lodging costs — except where applicable law does not allow this limitation.
12. Third-Party Content & Links
Our website may link to manufacturers, financing partners, rebate program sites, and review platforms like Google. We are not responsible for the content, accuracy, or practices of those websites. Use them at your own risk and refer to their terms and privacy policies.
13. Reviews & Testimonials
Customer reviews shown on our site are submitted by real customers through Google and other public review platforms. We may quote, reproduce, or feature published reviews on our marketing materials with attribution. If you have a concern about how your review is used, please contact us.
14. Governing Law & Dispute Resolution
These Terms & Conditions are governed by the laws of the State of Ohio, without regard to its conflict-of-law rules. If a dispute arises, we ask that you first contact us so we can try to make it right. Most issues can be resolved with a phone call. If a dispute cannot be resolved informally, both parties agree to submit it to a court of competent jurisdiction in Clinton County, Ohio.
15. Changes to These Terms
We may update these Terms & Conditions from time to time. The “Last Updated” date at the top reflects the most recent revision. Continued use of our website or services after a change means you accept the updated terms.
